The missed-call follow-up system for service businesses
You were on a roof, under a sink, or with a patient. Someone called. You missed it. They called the next company.
That is not a “marketing problem.” That is an operations leak — and it is fixable without a fancy dialer.
Why missed calls hurt so much
Local service buyers often contact two or three businesses in one sitting. The first clear human response frequently wins — even if they are not the cheapest. Speed-to-lead is the unfair advantage you control.
The 7-day skeleton (keep it boring)
- Day 0: Call back fast. If no answer: voicemail + SMS.
- Day 1: Morning SMS with a scheduling question.
- Day 2: Soft check-in (“still an issue, or sorted?”).
- Day 3: Email or SMS with booking link.
- Day 5: Value reminder (waiting can cost more).
- Day 7: Polite breakup message. Stop.
Seven touches over a week is not harassment when spaced and respectful. Hourly pings are.
The Day 0 SMS that works
“Hi [Name] — [Business] here. Just missed your call about [service]. What’s a good time for a quick callback today? Reply here or call [phone].”
It is specific, low-friction, and easy to answer from a job site.
Track leads in a free sheet
Columns: date, name, phone, source, service, day-0 done, status (open/booked/lost). If it is not written down, it did not happen. Google Sheets is enough.
After-hours reality
Record a voicemail that asks them to text name, neighborhood, and issue. Many customers prefer text anyway. Reply first thing next morning using the same cadence.
Train the team in one meeting
Print the scripts. Role-play one missed call. Agree who owns Day 0 when the owner is on a job. Systems fail when “someone” is responsible.
